Documentation & RFP answers

The answer matrix your sales team needs when procurement asks about the AI Act.

What you get
Answer matrix + system fact sheet + supporting file
Timeline
7–10 working days
Who it is for
Software vendors whose enterprise clients already ask about the AI Act in due diligence.

The duty

Anexo III

High-risk systems

Recruitment, credit, education, biometrics. Point 4 covers employment — the one that catches HR software.

Applies from 2 December 2027 · deferred from 2 August 2026

Deferring Annex III to December 2027 has not slowed vendor questionnaires: procurement and legal still ask, and "it does not apply yet" closes few deals. What unblocks it is a document stating what the system does, under which role, with which controls, and with which citation.

What it includes

  • Answer matrix covering the questions that actually show up in questionnaires
  • System fact sheet in language procurement understands
  • Supporting file with the evidence behind each answer
  • What to say when the honest answer is "not yet"
  • Matrix updated when the calendar changes

How it runs

  1. System

What it does exactly, what data it uses, what it decides and what it recommends. That distinction is what classifies it.

  2. Matrix

Question by question, evidence linked, no claims you cannot hold.

  3. Handover

A session with the sales team so they can defend every answer.

What it is not

Saying this before you sign avoids the awkward conversation after.

  • Not a certification or a seal. None exists for the AI Act.
  • We do not sign declarations of conformity on your behalf.
  • Not legal advice unless reviewed and signed by a qualified lawyer.
